Role Summary
Fanatics Collectibles is seeking a People Operations & Recruiting Coordinator, to play a pivotal role in supporting the daily operations of our HR functions & Recruiting. This blended role offers the opportunity to influence both the employee experience and the candidate journey, ensuring our people processes are organized, efficient, and human-centered.
HR Operations Responsibilities
- Maintain and update employee data and records across key HR systems, including Airtable and our HCM platform, ensuring a high level of accuracy, timeliness, confidentiality, and data integrity.
- Manage employee lifecycle changes, including new hires, internal transfers, changes to line manager, job title, cost centre, employment details, and terminations, in line with internal processes, approval requirements, and compliance standards.
- Coordinate and administer the end-to-end onboarding and preboarding process, partnering with Hiring Managers, IT, and other internal stakeholders to ensure new hires are set up for a smooth and positive start.
- Provide on-site support for new hires on their first day, including welcoming employees, conducting office tours, and helping deliver an engaging and seamless onboarding experience.
- Create tailored onboarding plans using internal GPT tools and partner with Hiring Managers to review and finalise plans ahead of new starters joining.
- Prepare and issue employment contracts and associated new hire documentation, ensuring information is accurate, appropriately approved, and delivered within required timelines.
- Support Right to Work and other employment compliance processes across multiple countries, ensuring required documentation is completed, recorded, and maintained appropriately.
- Maintain temporary worker and contractor records, proactively tracking contract end and extension dates and ensuring changes follow the appropriate approval processes.
- Complete new hire setup and administration across relevant internal and external systems, including expensing tools, benefit tools etc.
- Ensure new starters are enrolled in the appropriate onboarding and learning programmes, including the Topps Orientation course on Fanatics University.
- Act as a point of contact for employees and managers on day-to-day HR operational queries, providing timely support and escalating more complex matters to the appropriate HR team member where required.
- Support the delivery of consistent HR processes across the employee lifecycle by maintaining process documentation, identifying gaps, and partnering with the wider HR team on operational improvements.
- Contribute to global and regional HR operational initiatives, including documenting and standardising processes, creating Airtable automations, improving workflows, and recommending opportunities to increase efficiency and employee experience.
- Support regular HR data reviews and reporting, helping identify and resolve data discrepancies and ensuring employee information remains accurate across systems.
Recruiting Coordination Responsibilities
- Manage requisition creation within the applicant tracking system, ensuring accuracy and consistency across platforms and partnering with Finance to validate costings and required approvals.
- Coordinate interview scheduling and candidate communications in partnership with Recruiters, Hiring Managers, interviewers, and executives across multiple locations globally, with a strong focus on delivering a high-quality, “white glove” experience.
- Support recruiting administration throughout the hiring process, ensuring candidate and requisition information is accurate, up to date, and appropriately documented within relevant systems.
- Partner closely with Recruiting and HR Operations to ensure a seamless transition from candidate acceptance through preboarding and onboarding.
- Deliver a professional, responsive, and consistent candidate experience throughout the interview and offer stages.
Required Skills and Qualifications
- 3-5+ years of experience in Recruiting/Human Resources coordination, or people operations role (tech, media, or startup environment preferred) in an international environment
- Familiarity with GDPR and employee/candidate data handling requirements
- Excellent organizational skills with the ability to manage multiple tasks, juggle shifting priorities, and adapt quickly in a fast-paced environment—while maintaining a high level of accuracy and responsiveness.
- Clear and professional written and verbal communication.
- A proactive, service-oriented mindset and a passion for creating a great employee and candidate experience.
- Strong problem-solving skills with a proactive approach to identifying issues, resolving roadblocks, and improving processes.
- Comfortable operating with ambiguity and changing needs while maintaining focus, precision, and timely execution.
- Familiarity with HRIS and ATS tools (e.g., Oracle, Lever, Airtable, Greenhouse) is a plus.
- Discretion and sensitivity when handling confidential information.
